Commitment to protecting privacy:  Every effort will be made to meet responsibilities under, and comply with, the federal Personal Information and Electronic Documents Act (PIPEDA) and applicable provincial privacy laws, while maintaining the highest standards of confidentiality to ensure the protection of personal information (PI) in whatever from it is held. 

Collection, use, sharing, disclosure and retention of information:  Collection of all personal, corporate, financial and related information is only done with consent.  Its use and retention is solely for the purposes of providing advice and to ensure that any products or services purchased are provided quickly and correctly.   Personal information is conveyed confidentially to insurers through wholesale organizations known as Managing General Agencies (“MGA’s”) who are contracted to provide sales support, as well as any third-party service providers that the MGA may engage to assist in the provision of the sales support.  Information is collected and kept only for purposes of formulating advice, including personal, financial and health information.  With consent, this information may be shared to obtain help from other areas of expertise, and to another agent and/or MGA, to ensure service continues in the event of incapacity, death or retirement.  However, you will have the right to choose your own agent at that time, should you not agree to the assignment.  Much of the information collected is required to be retained for regulatory reasons including demonstrating that the recommendations made are suitable and address identified needs. 

Accuracy of information:  In order to make appropriate recommendations, accurate information must be provided.  Review of the PI retained is available upon request.  Every effort will be made to update the PI held to determine whether the recommendations made are still appropriate in light of changes in circumstances, relying on the provision of regular updates. 

What will NOT be done with PI:  It will not be sold to anyone nor shared with organizations that would use it for solicitation of their own products or services.

Efforts to protect PI:  All employees, associated advisors, wholesale organizations and suppliers that are granted access to client records are required by law and regulation to keep this information protected and confidential and to use the information only for the purposes identified.  Information that is no longer required for the intended original purpose will be destroyed.  Physical and system safeguards have been established and will be maintained, along with proper processes to protect client information from unauthorized access or use.

Privacy choices:  Consent may be withdrawn at any time (subject to legal or contractual obligations and on providing reasonable notice).  Withdrawing your consent may prevent the provision of requested products or services and may end the business relationship. 

Right to complain:  Complaints can be made confidentially, and also to the Privacy Commissioner of Canada if need be.
